Microsoft 365 Backup: Why Taking Control of Your Data Matters

Many organizations rely on Microsoft cloud apps like Exchange, SharePoint, and OneDrive, with SharePoint and OneDrive increasingly replacing traditional file servers. While Microsoft 365 is designed for high availability, automatically switching services if a server fails, these capabilities are not a substitute for point-in-time backup and recovery.

Let’s unpack what Microsoft 365 back-up actually protects, and how to take control of your enterprise data.

What is Microsoft 365 Backup?

Microsoft 365 backup is a service, provided by Microsoft, that creates point-in-time backups of data, such as Exchange Online, SharePoint and OneDrive.

This solution allows businesses to restore their data to an earlier state if an incident occurs, such as accidental deletion, malicious activity, or ransomware.

What do Microsoft’s native data retention features offer?

Microsoft 365 (formerly Office 365) already provides data resiliency and recovery features to support high availability. These include automatic replication, versioning, recycle bins, and retention policies.

However, high availability is not the same as backup, and Microsoft’s native retention features can be limited in scope, and serve different purposes. Microsoft’s default retention windows are also short, and once they expire data that isn’t covered by a separate hold or retention policy cannot be recovered with native tools. Here are the key retention periods for the platforms covered by Microsoft 365:

Service Content Default retention Configurable? After expiry
After expiry Emails, contacts, calendar items purged from Deleted Items 14 days Yes, up to 30 days Yes, up to 30 days
SharePoint Deleted files, lists, libraries and entire sites 93 days No Permanently deleted, (for sites, includes all content and settings)
OneDrive Deleted files (work/school accounts) 93 days No Permanently deleted

This is where Microsoft 365 back up comes in.

Why Microsoft 365 Backup is important

Even with Microsoft’s built-in protections, organizations are still vulnerable to:

  • User errors or accidental deletion: Employees may delete emails, documents, or folders that are critical to operations.
  • Ransomware or malicious insiders: Cyberattacks or unauthorized actions can compromise or erase important data.
  • Retention limitations: Native retention policies in Exchange or OneDrive are often time-limited and may not meet business requirements.
  • Compliance obligations: Many industries require organizations to retain and restore data beyond Microsoft’s default retention periods.

Challenges of traditional Microsoft 365 Backup approaches

Microsoft 365 Backup adds dedicated backup and restore capabilities. However, backing up Microsoft 365 data can be challenging, especially when managed in-house or through fragmented systems.

Managing backups for several customers has traditionally meant logging in to each one separately and juggling multiple tools—a time-consuming process that increases operational complexity and security risks.

A smarter, centralized approach can make managing and securing your data easier and more efficient.

Microsoft 365 Backup vs external backup

Microsoft’s proprietary Microsoft 365 Backup service retain its copies of your data within Microsoft’s environment.

An external backup stores data outside Microsoft, so your backups are kept separate from the environment they protect. Importantly, this gives you an independent route to recover your data if your Microsoft environment is compromised, misconfigured or unavailable.

The Solution: Multi-Tenant Portal

Evernex Cloud Solutions’ self-service multi-tenant portal for Office 365 backups, powered by the newest Veeam Backup for Microsoft Office 365, brings all backup and restore features into a single, intuitive interface. Find out more about Evernex’s partnership with Veeam.

With this centralized portal, there’s no need to juggle multiple dashboards or struggle with unclear usage insights. Everything—from storage and licensing to job progress—is visible in one place.

Here is how the traditional approach compares to a modern solution:

Feature Traditional Approach Evernex Multi-Tenant Portal
Workflow Fragmented: logging into separate Veeam Explorers for each customer. Centralized: Manage all jobs, storage, and licenses in one interface.
Visibility Limited insight into storage usage and license allocation. Full Visibility: Track usage per end-user to proactively manage resources.
Efficiency Time-consuming, manual setup, and prone to human error. Automated: Simplified workflows and self-service options for faster recovery.

Key features of the portal

  • Centralized management: Monitor all backup jobs, storage, and licenses in one portal.
  • Resource visibility: Track usage per end user to proactively manage overuse.
  • Customer self-service: Allow users to restore their own data independently.
  • Simplified workflows: Set up and manage backup jobs easily without switching portals.

Best practices for secure office 365 Backup

Even with a centralized portal, following best practices ensure backups are reliable and effective. To ensure your Microsoft 365 environment is fully protected:

  • Define a clear backup strategy: Decide what data needs to be backed up, how frequently, and how long it should be retained.
  • Test restores regularly: A backup is only valuable if you can reliably restore it. Schedule periodic tests.
  • Monitor usage and storage: Keep track of resource consumption to avoid overages.
  • Implement role-based access: Limit permissions to reduce the risk of accidental or malicious data loss.
  • Keep backups external and secure: Store backups outside Microsoft Azure to protect against accidental deletions, ransomware, or retention limitations.

Why choose an external Cloud Backup?

Even with Microsoft’s high availability, external backups are essential for business continuity. Evernex Cloud Solution’s cloud backup portal allows organizations to securely store user data outside Azure, protecting against accidental deletion, malicious activity, and retention limitations.

External backups provide peace of mind, ensuring your Microsoft 365 data is accessible, protected, and compliant with standards such as ISO 27001.

FAQ

Does Microsoft back up my Microsoft 365 data?

Not by default. Microsoft keeps its services available, but customers remain responsible for protecting their own Exchange, SharePoint, OneDrive and Teams data. Microsoft offers an optional, paid Microsoft 365 Backup service covering Exchange, SharePoint and OneDrive.

What is the difference between Microsoft's retention policy and a real backup?

Retention is a compliance policy that controls how long data is kept (or deleted). Backup is a separate, restorable copy for point-in-time recovery.

What data can be permanently lost in Microsoft 365 without a backup?

Emails, files and Teams messages deleted beyond native retention windows can be permanently lost. A deleted user’s data can also be lost once the grace period ends, and a tenant’s data once it is deleted after a subscription ends.

How long does Microsoft retain deleted data by default?

For Exchange Online deleted items, the retention standard is 14 days, but can be up to 30. For both SharePoint and OneDrive files, the limit is 93 days. Deleted user data is deleted after 30 days, while terminated tenant data remains up to 90 days.

What compliance risks come from relying only on Microsoft's native retention?

Where no hold or retention policy applies, data purged after short retention windows cannot be recovered for eDiscovery or audits. This risks breaching regulations or contracts that require data to be retained and restorable.
